Hotel staff schedule: the front desk covered, day and night.

Set up morning, evening and night shifts for the front desk, add a second person for weekend check-ins and generate the month. Rest between shifts is checked and overtime is flagged.

What makes a hotel schedule different

A hotel never closes, and its busiest hours are not the same every day. The schedule has to follow the arrivals.

Check-in peaks

Add a second person on Friday and Saturday evenings, or on Sunday mornings for check-outs. Coverage is set for each shift and each day of the week.

A night shift that rotates

Nights are spread fairly between everyone who can work them. If someone prefers permanent nights, mark the other shifts as off-limits for them.

Several properties

A small group with two or three hotels can schedule them together: floaters rotate between properties, never in two on the same day.

Housekeeping and front desk

Use departments to keep each team on its own shifts and coverage, with people who can cover both.

How many front desk agents do you need?

One agent per shift, seven days a week, is 21 shifts. At five shifts per person that is 4.2 agents, so five is the minimum and six leaves room for vacations. Add a second agent on weekend evenings and the shifts go up to 23: seven agents is comfortable.

Frequently asked questions

How do I schedule a hotel front desk 24/7?

Create three 8-hour shifts (morning, evening, night), set one person on each every day and add the agents. The generator spreads the shifts and flags any week over 40 hours.

Can one agent only work nights?

Yes. Mark morning and evening as shifts that person cannot do and the generator gives them nights only, spreading the rest between the others.

How do I cover weekends?

Raise the coverage for weekend evenings or mornings in the Coverage step. If the team is short, the summary says how many shifts are missing.

Can I schedule several locations at once?

Yes, in one schedule. In the Shifts step click “I have several locations”: each location gets its own shifts and coverage, and in Team you mark where each person works. Staff fixed to a location only work there; staff who float rotate between locations, never two on the same day and always with their rest between shifts. Fixed rotations like this one keep working: each crew follows its pattern at its own location. You can view, print and export each location separately.
